  • Responsibilities

    • Review Customer Service invoices and credits for accuracy
    • Work with customers to make sure defective equipment is returned quickly
    • Help customers return goods by coordinating with carriers
    • Seek a resolution when the defective equipment has been lost working with the customer’s accounts payable department when necessary
    • Answer the Insight Systems Exchange general phone line and the Customer Service phone line
    • Enter Customer Service Requests into our customer service portal
    • Enter tracking information into our customer service portal
    • Create and send a daily report of items that have shipped as a response to requests for service
    • Respond to customer inquiries regarding pending and shipped replacement orders and technical problems
    • Enter orders for replacement materials
    • Research past sales transactions and customer returns using search queries of historical data
    • Keep Sales Representatives and others updated of the status of pending customer replacements
    • Quickly take thorough, brief, but descriptive notes on customer requests
    • Collaborate with employees from various departments (technical support, inventory, accounting, purchasing, and shipping) to help solve various customer issues
    • Review, compile and process the data necessary to fulfill replacement orders

    Qualifications / Education

    • Moderate proficiency with MS Great Plains
    • Minimum of 2-3 years of continuous administrative experience
    • Experience in customer service is a plus
    • Moderate experience with inventory management software, especially Great Plains is a plus
    • High school diploma or equivalent required
    • College degree preferred


    • Must have problem solving and decision making abilities and work with urgency
    • Strong verbal and written communication skills
    • Excellent interpersonal skills with the ability to provide superior customer service and maintain cooperative working relationships
    • Strong organization and time management skills
    • Must possess the ability to multi-task and work autonomously or with a team
    • Strong attention to detail
    • Ability to communicate effectively on a one-on-one basis or in a group setting
    • Ability to type at least 65 word per minute
    • Ability to track and understand convoluted transactions by researching equipment serial numbers, carrier tracking numbers, invoices, credit memos, return documents, and order notes
